Lynn Valley Little League is run entirely by volunteers. If you feel that your skill set and volunteer time allowance will be a fit for any of these roles or would like more information on what the position involves, please contact us at info@lvll.ca

Here is a list of positions:

Executive Directors

President

  • Presides at league meetings and District 5 (D5) meetings
  • Assumes full responsibility for the operation of the league
  • Receives all mail, supplies and other communications from D5
  • Ensures that the league personnel are properly briefed on all phases of rules, regulations, and policies of Little League Canada
  • Is the contact between the local organization and D5

Vice President

  • Presides in the absence of the President
  • When possible attends D5 meetings with or in absence of President
  • Works with other officers
  • Oversees and works with volunteers
  • Is ex-officio member of all committees and carries out such duties and assignments as delegated by the President
  • Signs checks co-signed by Treasurer

Treasurer

  • Signs checks co-signed by another officer or director
  • Dispenses league funds as approved by the Executive
  • Reports on the status of league funds
  • Keeps local league books and financial records
  • Prepares budgets and assumes the responsibility for all league finances
  • Prepares and files all necessary documents for the Provincial Gaming Grant application

Communications Director

  • Responsible for league communications to the membership by email
  • Manages league general email inbox
  • Update website as requested by members of the league executive
  • Manages Social Media presence

Secretary

  • Maintains a register of members and directors
  • Records the minutes of meetings
  • Is responsible for sending out notice of meetings and maintains a record of the league’s activities
  • Assist with one-time and seasonal tasks for the Board, such as ordering trophies/medals, organizing or supporting fundraisers, and contributing time and coordination to league events
  • Provide administrative and organizational support to the Board as needed

Registrar

  • Manage the league registration process for the Spring season, Fall Ball, and Fall & Winter Development
  • Handle registration-related inquiries and issues, including cancelations & refunds
  • Assist Division Coordinators in organizing divisions & teams
  • Assisting in managing league, division, and team schedules on TeamSnap
  • Providing player information and reporting registration numbers to Division Coordinators and LVLL board, as required
  • Provide player information to Little League Canada
  • Works closely with Treasurer, President, Communications Director and all Division Coordinators

Diversity, Equity and Inclusion

  • Initial awareness education for coaches and broader community
  • Communication enrichment
  • Update communication that includes DEI goals
  • Create DEI awareness
  • Create materials and kits

Director at Large

  • Attends Board Meetings
  • Provides an advisory role on administrative and baseball matters pertaining to the league and D5
  • Is a member of ad-hoc committees and one-time tasks for the Board
  • Support as needed

 

Division Coordinators

Rally Cap Coordinator (T-Ball & Rookie Divisions)

Pre-Season Responsibilities

  • Obtain list of volunteers, coaches, assistants, managers, co-ordinators
  • Obtain list of player names and create teams: school-based and where possible giving consideration to friend placement request
  • Assign players and coaches to teams, schedule games and e-mail team lists to coaches
  • E-mail medical form information to coaches/managers
  • Coordinate uniform pick up

Season Long

  • On-going communication to coaches, manager and the league re: rules, dates for events, etc.
  • Deal with any questions as they arise throughout the season

Post-season

  • Collect feedback from coaches, parents, players

Minors Division Coordinator

Pre-Season Responsibilities

  • Obtain a list of volunteer coaches, assistant coaches and managers.
  • Obtain list of player names and create teams – teams are created using evaluations & NOT school-based, however, giving consideration where possible to friend placement requests
  • Assign players to teams and e-mail team lists and schedule to coaches
  • Upload the game schedule to Game Changer
  • E-mail medical form information to coaches/managers
  • Coordinate uniform and equipment (if necessary) pick up

Scheduling

  •  Establish a schedule involving games between other leagues that might choose to interlock with LVLL (Highlands, Forrest Hills, NV Central, West Van); develop playoff format for LVLL teams; collect results for standings for playoffs; co-ordinate schedule with umpire scheduler

Season Long

  • On-going communication to coaches, managers and the league re: rules, dates for events, etc.
  • Deal with any questions as they arise throughout the season
  • Coordinate medals and trophies (for the winners) for each team at the end of the season

Post-season

  • Collect uniforms in conjunction with Uniform and Equipment Managers
  • Collect feedback from coaches, parents, players

Majors Division Coordinator

Pre-Season Responsibilities

  • Obtain list of volunteers, coaches, assistants, managers, co-ordinators
  • Obtain list of player names and create teams using evaluations & assignments are NOT school-based
  • Assign players to teams and e-mail team lists to coaches
  • E-mail medical form information to coaches/managers (have managers check forms for missing info)
  • Co-ordinate the coaches meeting at start of season (hand out uniforms, equipment & schedule)

Scheduling

  • Establish a schedule involving games between other leagues that might choose to interlock with HLL (e.g. Forrest Hills, Central); develop playoff format for HLL teams; collect results for standings for playoffs; co-ordinate schedule with umpire scheduler

Season Long

  • On-going communication to coaches, managers and the league re: rules, dates for events, etc.
  • Deal with any questions as they arise throughout the season

Post-season

  • Collect uniforms in conjunction with Uniform and Equipment Managers
  • Collect feedback from coaches, parents, players

Coordinators

Development Program Coordinator

  • In  conjunction with Coaches, Division Coordinators, Field Manager, and Treasurer plan and execute development clinics for Farm, Minors, Majors and Juniors divisions for both pre-season and season
  • Develop relationships with various baseball instruction providers
  • Coordinate registration and communication for development programs
  • Manage program waitlists and session adjustments, as needed

Time commitment: year round

Pre-Season Evaluation Coordinator

  • Book gym space and time with North Vancouver Recreation Commission
  • Organize evaluations for player placement
  • Ensure baseballs (soft), bats, pinnies are available for evaluations
  • Organize coaches to evaluate
  • Tabulate scores and prepare overall rating on each player

Community Events and Fundraising

  • Coordinates league events such as fun day, team photos and pub night
  • Manages fundraising initiatives such as bat a thon, auction, and sponsorships
  • Coordinates community activities such as team photos, tree at LV and Parade etc.

Sponsorship Coordinator 

  • Discuss the sponsorship and fundraising objectives with League directors before the season
  • Contact regular sponsors each year to confirm continuing sponsorship and secure contribution
  • Provide sponsors with basic information about LVLL initiatives and schedules
  • Identify and develop potential new sponsorship and fundraising opportunities, as required
  • Coordinate sponsorship package execution

Female Baseball Representative

  • Attends Baseball BC Girls Program meetings and D5 Girls programming meetings
  • Maintains active role within the D5 Lionesses program
  • Reports back at LVLL board meeting on any updates for female development at the district or provincial level
  • Act as liaison between league/Player Agent and female players and their parents
  • Situations may include moving players between teams within and across divisions
  • Acts as an advisor for coaches with female players on an as needed basis

Managers | Agent | Safety

Equipment Manager

  • Pre-season, order necessary equipment for all divisions
  • Organize distribution of equipment to coaches
  • Maintain appropriate level of equipment during season
  • At season end, organize, receive, sort and store equipment

Time commitment: Pre-season and season long

Team Manager

  • Organize team roster with contact details
  • Promote, assist with, and encourage team families to attend and help with Special Events
  • Communicate to parents on game and practice times
  • Communicate with other team managers to cancel and make-up games
  • Communicate with Division Coordinator and Umpire Coordinator in the event of a change in schedule
  • Communicate with Communications Coordinator on score of games for posting on social media

Time commitment: Season long

Player Agent

  • Act as liaison between league, players and parents
  • Situations may include moving players between teams within and across divisions
  • Conduct player evaluations during season for possible movement

Time commitment: 25 hours (pre-season and season)

Safety Officer

  • Ensure the safety and physical protection of all players, coaches, volunteers and spectators
  • Verify that all volunteers and officials have completed Criminal Record Checks (CRCs) and up to date
  • Ensure regular inspections of fields, dugouts, and equipment for potential hazards in partnership with fields and maintenance volunteers
  • Report and follow-up on unsafe conditions or maintenance issues with fields crews or municipal staff as required
  • Promote first aid readiness ensuring kits are stocked and accessible at all fields
  • Collaborate with the League President and Board when safety concerns require further action.

Time commitment: ongoing throughout the year

Coaches | Umpires

Head Coach

Responsibilities differ for each division
  • This job is perfect for the person who loves the game of baseball and enjoys teaching the skills to play!
  • It requires a commitment of time, energy, patience, and some basic knowledge of the game.
  • Upload the game schedule to TeamSnap
  • Other responsibilities include organizing and managing practices (2 or 3 during pre-season, and at least 1 per week once the games begin), games (1-3 per week), selecting Assistant Coaches for your team, helping at the Players Skills Assessment in February/March, participating in the Player Draft, attending the Coaches Clinic in March/April

Time commitment: Pre-season and season long

Umpire Coordinator

Collaborate with Umpire-in-Chief to organize the umpire clinic before the start of the season
  • Organize umpire clinic in pre-season through District 5
  • Organize list of umpires and what level(s) they can work
  • Ensuring all coaches are sent a copy of the Official Regulations and Playing Rules
  • Scheduling and payment of umpires 
  • Communicate with umps and their families to determine general availability and special requests (i.e. some umps only want base).
  • Communicate with coaches so they know to inform re: cancelled games, makeup games, playoff games, etc
  • Reschedule umpires for any cancellations  
  • Implement an evaluation system for the umpires that prioritizes development (using coach feedback) 
  • Communicate with Umpire-in-Chief when necessary for any questions from coaches about the rules
  • Answer questions and concerns from coaches and parents about any specific game situations, communicate with Division Coordinator when necessary

Attend tournament and playoff games when available to ensure umpires, players and coaches are all following Official Regulations and Playing Rules

Umpire-In-Chief

Bob Hodgins
